Hard to believe that its less than a week away. Having the opportunity to present our case study is exciting, and in preparing the presentation we reviewed our original discovery when we met with our customer, Complete Conference Management. Reviewing the “old way” bought back a lot of memories in how they handled their speakers. They used Access and then number of entries made to manage changes and availability had to be incredibly time consuming. That along with how they managed the submission of speaker forms certainly required a lot of time and numerous steps to verify who had done what.
Since CCM began using our system the have doubled the number of shows they manage and offer new services to their speakers.
We would love to tell you more but we’d rather do it face to face. I hope to see on Monday at EMerge, especially during our presentation. If you can’t attend feel free to send me a note.

Documents, such as hand outs, presentations, and abstract that have traditionally been available on site or printed in a syllabus are items that planners are looking for alternative ways to collect and provide access to so ther meeting goes Green.
I think we all know what the term means; if not, here is some interesting reading:

Obviously there is a cost savings on the printing but what planners want to avoid is causing additional work for speakers. Speakers have to have a way to submit their items electronically. In many cases a planner or other staff person will need to have a process to review, proof, and possibly edit submitted items to ensure it meets the needs of the meeting and can be properly viewed online.
When looking for companies to provide methods of doing this, be sure to keep the needs of your speakers in mind so going Green can be made simple!

I am amazed at the number of forms speakers need to submit to be confirmed to speak at a Meeting. These forms and the “Status of” can be very daunting for meeting planners who receive forms via email, fax and even mail. Knowing who has submitted what, and who needs to be reminded can be very time-consuming and requires a good knowledge of spreadsheets to keep up with the process. I am sure some readers are very familiar with this.
Speaker management systems should offer planners easy-to-use tools to build these forms and have processes in place to remind speakers of deadlines.
There are a few more “Tricks of the Trade” I’d like to share with interested readers. Chime in and let’s get a dialogue going.

I recently met with a meeting planning company who has a customer who is looking at solutions to provide access to forms and documents for speakers. What was interesting was how they felt they needed to set up a mobile process so the completion of the forms could be done from a smart phone or web enabled devices. Having been in the industry for a few years… It was refreshing to see a new approach. I was looking for input from meeting planning companies or planners who might want to share there insight on how they use technology to serve their speakers.

Event planners can spend many man hours organizing speaking assignments. As a planner how are you doing it today? What are the key factors used to set up the program? How are you alerted when a conflict arises? How is the speakers schedule communicated.

We recently were contacted by a prospect who was using 20 access databases to manage speakers and other key needs for their conferences. Upon review of the files we found many duplicate records and departments who had to do duplicate entry in hopes of keeping everything in sync.
Show mangers should step back and look at how many databases exist in their operation as this might be a key identifier that its time to look for a new way!
